How to use it, step by step
- Measure the packed parcel's length, breadth and height in centimetres.
- Enter actual weight in kilograms.
- Enter the destination zone and the courier's base and additional slab rates.
- Compare billable weight against dead weight and re-pack if volumetric wins.
Billable weight decides your bill
Couriers charge on whichever is greater: actual weight or volumetric weight. The divisor differs by courier and mode, commonly 5000 for surface and air express in India. Rates then step up in slabs, typically 500 g increments after the base slab.
Volumetric weight kg = (L x B x H in cm) / 5000 Billable weight = max(actual weight, volumetric weight) Cost = Base slab rate + Additional slabs x Additional rate (+ COD fee if applicable)
Worked example: a 40 x 30 x 20 cm parcel weighing 1.2 kg
- Volumetric = (40 x 30 x 20) / 5000 = 4.8 kg
- Billable weight = 4.8 kg, not 1.2 kg
- Base 0.5 kg at Rs 45, additional 8.6 slabs at Rs 38 = Rs 371.80
- Reducing the box to 30 x 25 x 15 cm gives volumetric 2.25 kg and a bill of about Rs 178
Right-sizing the carton saved roughly Rs 194 per shipment — on 500 shipments a month that is close to Rs 97,000 saved without renegotiating a single rate.
Common mistakes to avoid
- Quoting shipping from dead weight and absorbing the volumetric difference silently.
- Measuring the product rather than the packed carton, including void fill.
- Ignoring COD handling fees, which are usually a percentage of order value with a minimum.
- Assuming the same divisor across couriers and modes.
- Excluding return-to-origin freight when the customer refuses delivery.
How to read the result
Set your free-shipping threshold above the point where contribution still covers billable shipping for your typical parcel size, and audit a sample of invoices monthly against your rate card — billing errors on weight slabs are common.

Check your rate card. 5000 is common in India, but some air services use 4000 or 4500, which makes bulky parcels more expensive again.
Does RTO cost the same as forward shipping?
Usually close to it, and you also lose the packaging and the sale. Factor expected RTO rate into your per-order shipping cost for COD orders.
